Pfura Peaks Long Distance Race 2026 · Mt Darwin South Constituency Development Office (CDO)
This notice explains what personal information the Mt Darwin South Constituency Development Office ("the CDO", "we", "us") collects when you register for the Pfura Peaks Long Distance Race 2026 ("the Event"), why we collect it, how long we keep it, and your rights. This notice is provided in line with Zimbabwe's Cyber and Data Protection Act [Chapter 12:07].
What we collect
Name, date of birth, gender, phone number, email address, race category, T-shirt size, emergency contact details, and (optional) national ID, running club, and known medical conditions. If you complete a printed Indemnity & Consent Form, we also collect your signature.
Why we collect it
To register you for the Event and assign your bib number; to contact you with event information; to respond appropriately in a medical emergency; to administer results, finisher certificates and prize giving; and, where you have consented, to use event photography or video for promotional purposes.
How long we keep it
General registration details (name, contact information, shirt size, club, category) are deleted or anonymised within 48 hours of the conclusion of the Event, once results and bib collection are finalised.
Signed Indemnity & Consent Forms and any race-day incident or medical reports are retained for a longer period — currently up to 3 years — as these records may be needed to respond to an injury claim or insurance matter raised after the Event. This period may be adjusted based on legal advice.
Published results (name, race category and finishing time only — no contact or medical information) may be retained indefinitely as a historical record of the Event, consistent with normal practice for public sporting results.
Who can see your information
Your details are accessible only to the CDO's Organising Committee and, where relevant to your safety, to on-site medical personnel. Medical and national ID information is restricted to those directly involved in registration and medical response. We do not sell your information. We may share limited, aggregated or anonymised statistics (e.g. total participant numbers) with sponsors, partner authorities or media — never your name or contact details, unless you have separately agreed to this.
Your rights
You may ask us, at any time, to tell you what information we hold about you, correct anything that is inaccurate, or delete your information (subject to the retention needs described above, e.g. we cannot delete an Indemnity Form still within its retention period).
